To ensure a high standard of academic engagement and professional delivery, presenters are expected to adhere to the following guidelines when preparing for and delivering their oral presentations at the Summit.

  • Content Preparation
    – Ensure your presentation content is relevant, well-structured, and aligned with the Summit theme and audience.
    – Focus on clarity, coherence, and the significance of your research or proposal.
  • Time Management
    – Presentations should be kept within the allocated 6 to 10 minutes, followed by a brief Q&A session.
    – Rehearse beforehand to ensure that you stay within the time limit while maintaining the quality of delivery.
  • Use of Visual Aids
    – Slides must be clear, readable, and free of unnecessary text.
    – Emphasize the use of visual elements such as charts, graphs, and images to convey your points effectively.
    – Avoid overloading slides with text or excessive animation.
  • Technical Preparedness
    – Bring a backup of your presentation on a USB drive or ensure access via cloud storage.
    – Ensure compatibility with the Summit’s audiovisual setup. PowerPoint format is preferred.
    – Conduct a technical check (if available) in advance to avoid any disruptions.
  • Q&A Session Guidelines
    – Anticipate likely questions and be prepared with thoughtful responses.
    – Listen attentively to each question; repeat the question if needed for clarity.
    – Respond in a manner that is concise, respectful, and relevant to the topic discussed.
  • Ethical and Professional Conduct
    – Appropriately cite all sources and ensure your content is plagiarism-free.
    – Maintain professional decorum—be respectful to other presenters, participants, and moderators.
    – Adhere strictly to punctuality—both in arrival and in timing your presentation.
    – Presenters must arrive at the venue at least 15–30 minutes before their scheduled session.
    – Dress in accordance with the Summit’s formal or professional dress code.
  • Additional Recommendations
    – If appropriate, prepare handouts or supplementary materials for distribution.
    – Be open to constructive feedback, and use it to enhance future presentations.
    – Engage actively in networking opportunities to build connections and explore collaborative possibilities with fellow researchers and professionals.
  • Poster presentations have emerged as a valuable format for scholarly exchange at academic summits, enabling dynamic interaction between researchers and participants. To ensure clarity, professionalism, and visual coherence, all poster presenters are required to adhere to the following specifications and recommendations

  •  Specifications for Poster Presentations
    – Dimensions: Posters must be designed to fit within one side of a 3.5 ft x 2.5 ft PVC board. Oversized posters will not be accommodated.
    – Poster Number: Each poster will be assigned a board number. This number must be placed in the upper left-hand corner of the poster and remain visible at all times. A pre-cut number label will be provided.
    – Essential Information: Posters must prominently include the title of the abstract, names of the author and co-authors, and the affiliated institution(s).
    – Contact Information: Please include the presenting author’s email address, phone number, and fax number (if applicable) in the upper right-hand corner of the poster.
    – Abstract Copies: It is recommended to attach printed copies of the abstract on the upper left-hand side of the poster, using clear section headings such as:
    • Introduction/Background
    • Methods
    • Results
    • Conclusions
Include your contact information on these copies for interested attendees.
    – Schedule & Setup: Refer to your acceptance letter or the final Summit program for your assigned poster session time, location, and set-up schedule.
    – Presenter Responsibility: The designated presenter (author or co-author) must be physically present during the assigned poster session to engage with attendees and respond to questions regarding the work.

  • Tips for Effective Poster Preparation
    – Posters should encourage dialogue, not deliver exhaustive details. Keep text concise and prioritize visual elements.
    – Provide handouts as supplementary material for attendees seeking more information.
    – Ensure that content flows logically and sequentially across sections.
    – Use charts and graphs to present data effectively; avoid large tables of raw data.
    – Use high-resolution images; low-quality web images may appear pixelated and unprofessional.
    – Avoid using all capital letters for extended text as it reduces readability.
    – Posters must not be handwritten, typewritten, or printed PowerPoint slides. These formats are unacceptable and will be removed.

  • Design Consistency & Readability
    – Maintain uniform margins, line spacing, and shading throughout the poster.
    – Use no more than 2–3 complementary fonts to maintain visual consistency.
    – Limit color use to 2–3 cohesive colors that enhance, rather than distract from, content.
    – Test your poster’s readability from a distance to ensure clarity for viewers.

To ensure a compelling, professional, and impactful delivery, participants are expected to follow the guidelines below when preparing and presenting their Research Storytelling or Elevator Pitch at the Summit.

  • Content Preparation

– Ensure your pitch clearly communicates the essence of your research idea, journey, proposal, findings, or academic inspiration.
– Focus on clarity, significance, and creativity, making your research accessible to a broad audience.
– Present a clear problem statement, your approach or innovation, and the potential impact of your work.
– Avoid excessive technical jargon—use simple and relatable language.

  • Time Management

– Your pitch must be completed within the allocated two-minute timeframe.
– Structure your presentation with a concise opening hook, a clear core message, and a strong closing statement.
– Rehearse multiple times to ensure smooth delivery without rushing or exceeding the time limit.

  • Storytelling Techniques

– Begin with an attention-grabbing opening—such as a question, statistic, or brief anecdote.
– Build a logical flow from problem → solution → impact.
– Use vivid imagery and relatable examples to engage the audience.
– Convey your passion and motivation behind the research.

  • Delivery & Body Language

– Speak with confidence, enthusiasm, and authenticity.
– Maintain eye contact, use purposeful gestures, and project your voice clearly.
– Use natural pauses to emphasize key points and allow the audience to absorb information.

  • Visual Aids (If Applicable)

– Keep slides minimal, visually appealing, and free from unnecessary text.
– Use impactful visuals such as images, infographics, or short keywords to reinforce your message.
– Avoid overly complex charts or distracting animations.
